TERMS & CONDITIONS

Car Maintenance Club Terms & Conditions — Mobile Valeting & Maintenance Club
Last updated: 18/10/26

These Terms & Conditions apply to all mobile valeting services and Maintenance Club memberships provided by [YOUR BUSINESS NAME] (“we”, “us” or “our”).

By booking a service or joining our Maintenance Club, you (“the customer”, “you” or “your”) agree to these Terms & Conditions.

Please read them carefully before booking.

1. OUR SERVICES

We provide professional mobile valeting services at suitable residential and workplace locations within our designated service area.

Our services include:

* Initial Deep Clean Valets.
* Four-weekly Maintenance Club valets.
* Six-monthly Deep Clean Resets.
* Optional quarterly Deep Clean Resets.

All services are subject to vehicle suitability, access, weather conditions, availability and the requirements of our business insurance.

We reserve the right to assess a vehicle and its working environment before commencing work.

If the vehicle’s condition or the working environment differs significantly from what was agreed, we will discuss any necessary changes with you before proceeding.

2. INITIAL DEEP CLEAN VALET

All Maintenance Club customers must begin with an initial Deep Clean Valet.

Our initial Deep Clean Valet establishes the standard from which subsequent maintenance visits are performed.

Pricing is based on vehicle size:

* Small vehicle: £130.
* Medium vehicle: £140.
* Large vehicle: £150.

The appropriate vehicle category and final price will be confirmed before work begins.

Additional work outside the agreed service scope may incur an additional charge. We will obtain your agreement before undertaking chargeable additional work.

3. MAINTENANCE CLUB MEMBERSHIP

Our Maintenance Club is designed for customers who want regular vehicle maintenance, consistent service and the convenience of a recurring appointment.

Membership costs £100 every four weeks.

Membership includes one scheduled maintenance valet per four-week billing period, subject to these Terms & Conditions.

The maintenance service is intended to preserve the vehicle’s condition following the initial Deep Clean Valet.

It is not a substitute for a full deep clean, paint correction, stain removal or specialist treatment.

The standard of maintenance achievable depends on the vehicle’s condition, use, exposure to the elements and care between appointments.

We cannot guarantee that a vehicle will retain an identical finish regardless of these factors.

Membership eligibility

Membership begins following completion of the initial Deep Clean Valet and agreement of the membership arrangements.

Membership is subject to our capacity and acceptance of the vehicle for ongoing maintenance.

We reserve the right to decline or discontinue servicing where the vehicle or working environment presents a safety concern, falls outside our service capabilities or cannot be serviced in accordance with our insurance requirements.

Any membership termination will be handled in accordance with the cancellation provisions below.

4. RECURRING PAYMENTS

Maintenance Club payments are collected every four weeks at £100 per billing period.

A four-week billing period is 28 days. This is not the same as a calendar month.

Payments cover the maintenance service associated with each billing period.

You are responsible for ensuring that your payment method remains valid and that payments can be collected when due.

If a payment fails, we may contact you to arrange payment and temporarily suspend future appointments until the account is brought up to date.

We will explain any outstanding amounts before taking further payment action.

We will not charge undisclosed fees or introduce changes to your payment arrangements without an appropriate basis and, where required, your agreement.

5. DEEP CLEAN RESETS

A Deep Clean Reset is required every six months as part of our standard Maintenance Club programme.

The applicable charge is separate from your £100 four-weekly membership payment.

Current prices are:

* Small vehicle: £130.
* Medium vehicle: £140.
* Large vehicle: £150.

The reset is intended to refresh the vehicle’s overall condition before maintenance continues.

Deep Clean Reset appointments will be arranged in advance.

You are responsible for paying the applicable reset charge when agreed for the service.

Quarterly Deep Clean Resets

Customers may request an optional Deep Clean Reset every three months.

Quarterly resets are charged separately at the applicable Deep Clean Valet price.

We will confirm the price and appointment arrangements before the service takes place.

Additional work required because of excessive contamination, damage or conditions outside the agreed service scope may incur additional charges, subject to your agreement.

6. APPOINTMENTS AND RESERVED TIME SLOTS

We aim to provide each Maintenance Club member with a recurring appointment that suits their preferred schedule.

Your preferred day and time will be agreed subject to availability, geographical routing, access and operational requirements.

We will make reasonable efforts to honour your agreed recurring appointment.

However, we cannot guarantee that an appointment will remain unchanged in exceptional circumstances, including severe weather, illness, vehicle or equipment issues, safety concerns or other circumstances beyond our reasonable control.

Where an appointment needs to change, we will contact you as soon as reasonably practicable and arrange an alternative.

You must ensure that the vehicle is available and accessible at the agreed time.

If the vehicle is unavailable, inaccessible or cannot be worked on safely, we may need to reschedule the service.

Repeated missed appointments or access issues may result in a review of your membership.

Any charges relating to missed appointments will only apply where they have been clearly communicated in advance, are permitted by applicable law and reflect the circumstances.

7. CUSTOMER RESPONSIBILITIES: PERSONAL BELONGINGS

All personal belongings must be removed from the vehicle before the appointment begins.

This includes, but is not limited to:

* Clothing, bags and personal accessories.
* Loose change, cash and valuables.
* Documents, letters and paperwork.
* Electronic devices, charging cables and removable accessories.
* Children’s toys and personal items.
* Food, rubbish and loose objects.
* Items stored in door pockets, centre consoles, glove compartments and other storage areas.
* Items in the boot or luggage compartment, where these areas are included in the agreed service.

Please also secure or remove any fragile, valuable or easily damaged items.

We are not responsible for the loss of or damage to personal belongings left in the vehicle, except where liability cannot lawfully be excluded, including where loss or damage results from our negligence or other actionable conduct.

We do not undertake to inventory, remove, store or safeguard customers’ personal belongings as part of a standard valet.

If belongings prevent us from accessing the areas to be cleaned, we may leave those areas untouched or ask you to remove the items before work proceeds.

If excessive belongings or clutter prevent the agreed service from being completed safely or properly, we may need to pause or reschedule the appointment.

Any additional charge for extra work or a return visit will be discussed with you before it is incurred.

8. SAFE WORKING ENVIRONMENT AND INSURANCE REQUIREMENTS

We must have a safe and suitable working environment before any work begins.

Our services are carried out by a two-person mobile valeting team. We are required to work within the conditions and limitations of our business insurance, relevant safety requirements and our operational procedures.

By booking with us, you agree to provide a location where we can work safely and reasonably access the vehicle.

This includes ensuring, where applicable, that:

* The vehicle is parked in a suitable, stable and accessible location.
* There is sufficient space to work safely around the vehicle.
* The work area is free from unreasonable hazards, obstructions and trip risks.
* The vehicle can be accessed without exposing our team to avoidable danger.
* Any necessary permission to work at the location has been obtained.
* Any site-specific restrictions are disclosed before the appointment.
* Any water or electricity supplies required for the agreed service are safe, suitable and available, where applicable.

We may decline to begin, pause or stop work if we reasonably believe that the working environment is unsafe, unsuitable or inconsistent with our insurance requirements.

Examples include dangerous parking arrangements, inadequate working space, unsafe electrical supplies, hazardous substances, aggressive behaviour, threatening animals, dangerous access conditions or other significant risks.

We will explain the concern and, where reasonably possible, discuss an alternative arrangement.

If a safe and suitable alternative cannot be agreed, the appointment may need to be rescheduled or cancelled.

We will not be required to undertake work that would compromise the safety of our team, the customer, the vehicle or other persons.

Any payment, cancellation or rescheduling consequences will be handled in accordance with the applicable booking terms and consumer law.

Our team will never be expected to work in an environment that falls outside the requirements of our business insurance or presents an unacceptable safety risk.

9. VEHICLE CONDITION AND PRE-EXISTING DAMAGE

You must disclose any known issues that may affect the service, including:

* Damaged or loose interior trim.
* Cracked screens or damaged glass.
* Faulty windows, locks or electrical components.
* Existing paintwork damage.
* Loose upholstery or damaged leather.
* Water leaks or known electrical faults.
* Previous repairs or areas requiring special care.
* Significant staining, mould, excessive pet hair or unusual contamination.

We may photograph the vehicle’s condition before commencing work for service records and to document visible pre-existing damage.

Photographs will be handled in accordance with our privacy practices.

We will take reasonable care when cleaning your vehicle. However, we cannot guarantee the complete removal of every stain, odour, mark or defect.

Existing damage, deterioration, wear, defective materials or previous repairs may affect the outcome of a valet.

If we identify a condition that makes a particular cleaning method unsafe or inappropriate, we may omit that treatment and discuss the available options with you.

10. EXCESSIVE CONTAMINATION AND ADDITIONAL WORK

Our standard services are priced on the agreed vehicle category and service scope.

Additional work may be required where a vehicle has:

* Excessive mud or accumulated dirt.
* Heavy staining or embedded contamination.
* Excessive pet hair.
* Mould or suspected biohazards.
* Significant odours requiring specialist treatment.
* Large amounts of rubbish or personal belongings.
* Conditions requiring specialist products, equipment or additional labour.

These conditions may fall outside the standard maintenance service.

We will assess the situation and explain any additional work and charges before proceeding.

We will not carry out chargeable additional work without your agreement.

Where the contamination presents a health or safety risk, we may decline the work or recommend a suitable specialist service.

11. WEATHER AND OPERATIONAL CONDITIONS

As a mobile valeting business, our services may be affected by weather, access conditions and other operational circumstances.

If conditions make the service unsafe or prevent us from achieving an acceptable result, we may need to rearrange your appointment.

Where reasonably possible, we will provide notice and offer an alternative appointment.

We will handle any payments relating to an affected appointment fairly and in accordance with the agreed terms and applicable law.

12. CANCELLATIONS, RESCHEDULING AND MEMBERSHIP TERMINATION

We ask customers to provide as much notice as possible when requesting a change to an appointment.

Your booking confirmation and membership agreement will explain the applicable cancellation and rescheduling arrangements.

Membership cancellation must be submitted through the contact method specified in your membership agreement.

We will confirm the effective cancellation date, any remaining service entitlement and whether any further payment is due under the agreed terms and applicable law.

We will not treat a customer as having waived a statutory cancellation right simply because they have booked a service or begun a membership.

Where a statutory cooling-off period or other consumer right applies, we will comply with the applicable legal requirements.

If you request that a service begins during a statutory cancellation period, we may ask for the relevant express consent and acknowledgement required by law.

Nothing in these Terms & Conditions removes or limits any cancellation, refund or other right that you have under applicable law.

We may suspend or terminate a membership where there is a serious or repeated breach of these Terms & Conditions, non-payment, abusive behaviour or an ongoing safety concern.

Where appropriate, we will explain the reason and provide reasonable notice or an opportunity to resolve the issue.

Any refund or outstanding payment will be assessed in accordance with the circumstances, the membership agreement and applicable law.

13. PAYMENTS, PRICES AND REFUNDS

All prices will be communicated before the relevant service is undertaken.

The agreed price will depend on the vehicle category and service selected.

Additional work must be agreed before it is carried out.

If we need to change our prices, we will provide reasonable advance notice. Any changes to recurring membership charges will be communicated before taking effect and handled in accordance with the membership agreement and applicable law.

Customers may contact us with questions or concerns about a payment.

Where a service has not been delivered as agreed, we will consider the circumstances and any remedy required under applicable law.

Nothing in these Terms & Conditions excludes or restricts statutory rights relating to service quality, refunds or other remedies.

14. OUR RESPONSIBILITY AND LIABILITY

We will exercise reasonable care and skill when carrying out our services.

If you believe that our work has caused damage or that a service has not been performed as agreed, please contact us as soon as reasonably possible with details of the concern.

Where appropriate, we may request photographs or an opportunity to inspect the vehicle.

We will investigate complaints fairly and consider any appropriate remedy.

We do not exclude or restrict liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or other liability that cannot lawfully be excluded.

Nothing in these Terms & Conditions affects your statutory consumer rights.

15. COMPLAINTS AND CUSTOMER SUPPORT

We aim to provide a professional, reliable service.

If you are dissatisfied with a service, please contact us using the details provided on our website or booking confirmation.

Please include your name, vehicle details, appointment date and a description of the issue.

We will review your concerns and respond within a reasonable period.

Where appropriate, we may ask for further information to help us investigate.

Our objective is to resolve concerns fairly and professionally.

16. PRIVACY AND CUSTOMER INFORMATION

We collect and use customer information to manage bookings, deliver services, administer memberships, process payments and communicate with customers.

We will handle personal information in accordance with applicable UK data protection legislation and our Privacy Policy.

Photographs taken for vehicle condition records, service documentation or marketing purposes will be handled appropriately. We will obtain any additional permission required before using identifiable customer or vehicle images for promotional purposes.

17. CHANGES TO THESE TERMS

We may update these Terms & Conditions where reasonably necessary, including to reflect changes in our services, business operations or legal obligations.

We will provide appropriate notice of material changes.

Changes will not retrospectively remove rights that customers have already acquired or override applicable statutory protections.

Where a change requires customer agreement, we will seek that agreement before applying it.

18. GOVERNING LAW

These Terms & Conditions are governed by the laws of England and Wales, where applicable.

Nothing in this section removes any mandatory consumer protections that apply to you.
